Description/Job Summary

RHD Woodstock Family Center (WFC) provides emergency housing services for single women with children. During their stay they will be focused on housing, employment, health, community involvement, and education. The primary goal of the program will be for residents to obtain permanent housing in a short period of time.
 
The Fiscal Administrator is directly responsible for creating an environment that reflects the mission of the RHD’s WFC and complies with the standards of the Philadelphia’s Office of Supportive Housing (OSH).The position functions within the administrative/supervisory team of the Woodstock Family Center.  A commitment to the RHD Values should be demonstrated as job duties are performed.
 
Essential Duties and Functions

  • Complete external agency and intra-agency correspondences, agency logs, reports, forms, billing invoices and filing
  • Complete written correspondence, electronic communications, distribution of mail, copies, ordering supplies, and data entry of program documents
  • Oversee the process, completion, and documentation of  maintenance requests and coordinates building management duties such as regular cleaning and renovations
  • Complete monthly property inspections and enter the information in the Property Data Base
  • Provide the Director and Operations Manager with a daily / weekly updated list of occupied and unoccupied rooms
  • Supervise and assist staff with room set ups for New Residents and room closeouts when Residents are discharged ensuring that rooms are completely vacated and free of debris, sanitized and exterminated
  • Develops, coordinates, and maintains record keeping and filing systems
  • Develops, coordinates, and maintains safety records and systems for the facility
  • Prepares, interprets, and disseminates information on the agency’s programs and procedures
  • Coordinates work and communication between Woodstock external entities and funders including but not limited to: RWA, U.S. Facilities, and Philabundance.
  • Support the Admin Staff with designing, and editing agency forms, manuals, reports, and charts
  • Collection and monitoring of  Shelter Fees and Savings 
  • Support the Director and Operations Manager with other duties as assigned
 
Qualifications
  • Associate Degree in Business Management, Business or related educational field from an accredited college
  • Valid Driver's License and acceptable driving record.
  • Knowledgeable in creation and utilization of Excel Spreadsheets
  • Preferably 3 years of experience
  • Prior experience in,  record keeping, payroll and billing, program budgeting, as well as knowledge of insurance organizations and credentialing requirements
  • Proficiency in Microsoft Office Suites and Email
  • Understanding of and proficiency in utilizing all office equipment including fax, scanner, and copier
  • Understand and complete administrative responsibilities of the telephone system
  • Understand and implement the Lawson Business Interface
  • Ability to work in a fast paced office environment and shelter
  • Ability to learn and assist in vendor negotiations
  • Initiative to improve working environment
  • Preferably experience working with a homeless population or in a residential setting
  • Ability to work in a team environment while working in a supportive and effective manner with a challenging population
  • Ability to implement new systems and procedures as well as evaluate their effectiveness
