What You'll Do

The Pennsylvania Institute for Community Living (PICL) is looking for an Administrative Assistant to join the team! The Administrative Assistant is responsible for providing administrative support and organization to department director, completion of paperwork, telephone reception, scheduling, processing and ordering of supplies, data entry and low-level report preparation. Candidates should be organized, friendly, and skilled at multi-tasking.  

Responsibilities/Duties

 Answer telephones and transfer to an appropriate staff member.

·         Meet and greet new residents and visitors.

·         Create and modify documents or enter data using Microsoft Office and other company software.

·         Perform general clerical duties including but not limited to: photocopying, faxing, mailing, and filing.

·         Maintain hard copy and electronic filing systems.

·         Sign for and distribute UPS/Fed Ex/DHL packages.

·         Research, price, and recommend purchase of office furniture and supplies.

·         Coordinate and maintain records for staff office space, phones, parking, and facility keys.

·         Setup and coordinate meetings and conferences.

·         Collect and maintain PC inventory.

·         Support staff in assigned project-based work.

·         Provide office orientation for new employees

·         Setup accommodations and food arrangements for facility visitors when assigned.

·         Comply with attendance and timekeeping rules and report reliably and regularly to work on an on-going basis.

·         Attend regularly scheduled staff meetings and supervision as well as in-service training and development activities.

·         Complies and promotes compliance with all applicable laws, regulations and agency policies helping to strengthen and maintain an ethical organizational culture.

·         Performs other job-related duties as assigned. 

Required Experience

Two years experience, preferably in a medical office or health care setting.

Required Education

High school diploma

Required Qualifications

Must be detail oriented and have excellent time management and computer skills (proficient in Microsoft Office).

About the Program

The Pennsylvania Institute for Community Living (PICL) is a 15-bed modified therapeutic community residential program that offers integrated self-help, recovery-oriented treatment along with psychiatric rehabilitation, 24-hour staffing and placement in permanent housing. PICL offers all components of Psychiatric Rehabilitation in its day-to-day treatment with specific lesson plans and groups organized around functional skill sets in the following areas: social skills, vocational skills, tenancy skill building such as budgeting and financial planning, time management, emotional expression and coping skills. The rehabilitative process focuses on each individual’s strengths and is a collaborative process between staff members and the residents. The program usually takes 12-18 months for residents to reach their recovery focused goals.
