Description/Job Summary

As a member of the administrative team, the Operations Manager will partner with the Unit Director to ensure that operations and management of the program meet all regulatory and credentialing criteria. Supervises all administrative and clerical staff. Develops, implements and oversees administrative functions. Coordinates billing activities to ensure maximum reimbursements and compliance with all health care governing agency policies and procedures.The Operations Manager (OM) provides leadership to staff in collaboration with the Program Director. The Operations Manager will assist the director with staff supervision, training and hiring of staff. The OM is responsible for helping to ensure all program operations are conducted in an ethical and professional manner. 

Responsibilities/Duties

Essential Duties and Functions


  • Ensure that the daily tasks and assignments in areas of data entry, billing, and filing are complete.
  • Complete interagency and intra-agency correspondences, agency logs, reports, forms and filing.
  • Compile timesheets, benefits information of the staff, and accounts payable paperwork for submission to corporate office
  • Oversee and complete written correspondences, electronic communications, distribution of mail, copies, ordering supplies, and data entry of program documents.
  • Participate in the ongoing training of support team.
  • Assist other supervisors with the ongoing team building of the Unit.
  • Assist with interviewing applicants for vacancies in the Unit.
  • Coordinate special projects.
  • Supervise Team Lead, Certified Peer Specialist, and Recovery Specialist to include daily operations, supervision practices, implementation of consumer plans and documentation. 
  • Supports the Unit Director in adhering to license, funder and budget requirements.
  • Provide support and intervention for individuals and staff during a crisis. 
  • Manage the recruitment process to include scheduling candidates for interviews. Participate in hiring, and orientation, of new staff as necessary. 
  • Support management team with documentation around supervision to include progressive discipline as warranted. 
  • Reviews site documentation in preparation for audits both internal and external.
  • Create an environment that empowers individuals through the development of skills and coordination of resources and supportive services.

Required Experience

  • 5 years prior experience in a combination of supervision, credentialing and operations management.

Required Education

Bachelor's degree.

Required Qualifications

Valid Driver's License
