Description/Job Summary

An outpatient substance use counseling program in King of Prussia is looking for a full-time fiscal administrator. The ideal candidate should have excellent customer service skills, ability to utilize technology effectively (i.e. Microsoft Office, electronic health records, etc.), be a self-starter, exhibit a team approach to problem solving, be dependable and reliable, and be able to work in a fast-paced environment. Previous experience in billing, accounts receivable, and accounts payable is required. Experience working for a non-profit and/or social services provider is preferred.

Responsibilities/Duties

 Job Duties include but are not limited to:
  • Complete cash and credit card deposits and resolve discrepancies when preparing deposits
  • Ensure proper capture of services at the program by completing weekly billing process for all billable services
  • Work with billing staff to provide active communication surrounding services, deposits and resolve discrepancies
  • Monitor group census to ensure accuracy and communicate census issue with clinical team
  • Communicate any challenges with clinical team entering timely documentation with the Director
  • Approve biweekly employee time and partner with Payroll and Director to resolve issues
  • Complete supplemental time sheets for employees when necessary
  • Receive and process bills utilizing AP Check request system
  • Utilize WebNow program to submit to Accounts Payable for payment and tracking system of invoices
  • Communicate with independent contractors to ensure timely submission of all invoices
  • Complete and update annual contracts with vendors as necessary
  • Resolve non-payment issues when necessary
  • Monthly GL review to ensure accurate coding of check requests
  • Attend billing and AR meetings at RHD Central Office when scheduled
  • Provide supervision to 3 administrative staff
  • Complete other duties as requested by Director
  • Provide administrative backup at the front desk as needed and as coordinated by Director

Required Experience

Two or more years of related administrative experience

Previous supervisory experience highly preferred

Associates degree in related field
