Description/Job Summary

The Fiscal Administrator will function as a support person to the Area Finance Manager and other staff members as needed. The overall responsibility will be to coordinate fiscal administrative functions within the program.

Examples of work to be performed:
  • Assist the Missouri Area Finance Manager in carrying out administrative assignments relating to the program and the site;
  • All payroll functions including review for accuracy, making corrections where necessary, submitting change forms as needed, submitting supplemental requests as needed, monitoring all PTO accruals, fielding calls and questions from employees regarding their pay;
  • Submitting direct deposit information to accounting for mileage reimbursements (as employees are hired);
  • Collecting, reconciling and submitting mileage monthly the 12th deadline; •Facilitating new credit card applications and submitting to Shared Services timely;
  • Training employees who apply and receive credit cards on proper use and documentation for credit card use and reconciliation;
  • Reconciliation of credit cards for self and all companions accurately while meeting deadlines;
  • Reconciliation and submission of remote checking account activity accurately by the 1st of each month;
  • Review and approve prepared room and board invoices for consumers monthly and deliver/mail to appropriate party;
  • Working with companions and other employees to ensure compliance with all fiscal requirements;
  • Reconciling all petty cash accounts monthly by the 15th of each month;
  • Facilitate NAFS funds delivery and reconciliation;
  • Payroll approval and change submission through the payroll department;
  • Review monthly statements for consumer benefits;
  • Assist with worker’s compensation and FMLA paperwork for employees;
  • Assist with identifying office supplies and equipment; .
  • Answering and fielding phone calls;
  • Related duties as required and assigned.
Minimum Qualifications:
The Fiscal Administrator will possess a High School diploma or equivalency and have 3 years’ office management experience.
