The Office Manager works with the management team and administrative staff to coordinate the administrative functions of the local Boston Office. The Office Manager oversees tasks related to Human Resource including payroll, employee records, and hiring.
Essential Duties and Functions
Oversees the daily functions of the RHD Boston administrative office.
Manages petty cash, staff reimbursements and cash advance requests
Works in conjunction with Office Assistant to manage vendor accounts.
Maintains personnel files insuring all appropriate documentation is complete, submitted to RHD’s Central Office and filed in appropriate personnel files.
Oversees Lawson (payroll system)
On boards new staff insuring all relevant new hire paperwork is completed
Ensure employee access to payroll system
Files appropriate paperwork for employee changes
Provides assistance in reconciling issues related to employee pay
Attends weekly administrative meetings, documents minutes, distributes minutes to the RHD Boston administrative team
Posts all job openings.
Tracks full employment life cycle of all applicants.
Identifies, establishes and maintains relationships with all outside job referral agencies and individuals
Interacts with Central Office Benefits Department to obtain and disseminate current benefits information
Acts as a benefits liaison between employees and RHD Central Office’s Benefits Department.
Affirmative Action Plan
Identifies and establishes relationships with referral agencies
Coordinates reports to government agencies (e.g.. OFCCP, DOL, etc.) in conjunction with the Regional Director
Assists with the preparation of yearly AAP
Attends job fair, networking and outreach events
Other duties as assigned.
Associates Degree in a related field, Bachelors preferred
Specialized Knowledge -
Must be familiar with HR practices and legal requirements
Must have excellent communication skills (written and verbal) with a diverse audience
must be able to work in an open office environment
must be able to handle multiple projects concurrently
none required, prefer persons with some training in HR policies and procedures
prior experience working in an office setting with similar responsibilities (two years preferred)
prior experience working in a non profit environment (preferred but not mandatory)
