Description/Job Summary

This position supports Lower Merion Counseling and Mobile Services in upholding the standards of our programs.   

This position requires administrative support to the program, scheduling all appointments for medical practitioners and incoming and existing patients for the OP Center, case assignment responsibilities, and tracking caseload management. The position is Part-time for 20 hours per week minimum.

Essential Duties and Functions
  • Program Support                                                             
  • Ensure that all schedules for clinical staff are updated and accurate; block schedules including lunch breaks, vacation/time off request, supervision, and meetings
  • Review incoming intakes and appointment calls for accuracy
  • Coordinate appointment reminders or cancellations through DocConnect and calls
  • Assure proper credentialing of all LMCMS staff, FFS staff and Locums is completed before assigning cases for assessments (for insurance coverage)
  • Medical schedulers coordinate appointment times for patients and practitioners
  • Responsible for ensuring all TX Plans are updated before appointments
  • Interact with clients and administrative staff to ensure accurate scheduling of new and existing clients
  • Clerical work performing a variety of tasks related to the scheduling of clients to receive services from service providers
  • Assists clients by determining needs, scheduling or canceling appointments, or referring to correct staff person
  • Maintains and updates schedule of service providers' availability; maintains contact with clients, notifying them of any scheduling changes
  • Codes information and enters into EHR databases; reviews to ensure accuracy and completeness
  • Assists with any other medical record duties such as purging files, processing health history forms
  • Appropriately represent RHD while communicating with in individuals in services, staff, contractors, and funders
  • Exercise appropriate discretion when receiving sensitive information about individuals in services and/or staff
  • Conduct oneself in a manner consistent with the values of RHD.
  • Participate in relevant meetings as requested by supervisor and/or director
  • Assure coverage is in place when unable to manage daily scheduling
  • Maintain communication with supervisor, director, office manager, operations manager when appropriate
  • Complete other duties as assigned.
Qualifications
  • Bachelor’s degree preferred
  • Certificate or associates degree in medical assisting or medical office administration preferred.
  • Experience in an administrative environment (preferably behavioral health)
  • Organized, professional, great communicator
  • Knowledge of computers and database/word processing software/EHR.
  • Knowledge of standard office procedures and equipment
  • Ability to be a team player

Physical requirements:
 
Physical requirements include sitting at desk or meetings for most of day and lifting light objects on occasion (archiving files).
