The ICM team provides non-traditional community based mental health treatment to promote the recovery and community integration of over 200 adults with serious mental illnesses and co-occurring substance use disorders living in the community to reduce use of ERs and inpatient hospital stays.
Provide administrative support to the team lead to insure compliance with programmatic requirements
Attend team meeting to assist with visit tracking, scheduling, and to report on interactions with consumers and natural supports
Serving as a liaison between consumers and staff, such as attending to the needs of office walk-ins and calls from consumers/natural supports
Maintain prescriber schedule on electronic health record
Track psychiatric evaluations and insure that clients are scheduled appropriately with prescriber for timely completion of evaluation annually
Provide reminder calls to individuals who have appointments scheduled with prescriber
Maintain consumer files in accordance with standards, to include creating new charts for incoming consumers, filing documentation in charts, purging charts, and breaking down discharged charts
Pull charts for prescriber appointments and as needed, scan information to the prescriber
Maintain and order office supplies
Assist team lead/unit director in overseeing, monitoring and maintaining budget
Assist team lead/unit director in overseeing/maintaining data base or electronic health record
Meet with individuals once job offer is made to complete hire in paperwork and send it to Central Office. Insure that no individual starts work prior to urine drug screen and background check is completed
Maintain personnel files in accordance with policy
Assist team lead/unit director in tracking employee trainings
Assist team lead/unit director in tracking employee PTO time
Assist in insuring that hourly staff complete timesheets
Input billing activity in a timely and accurate manner into web-based system or electronic health record
Pay all bills in a timely manner and maintain vendor relationships
Submit accurate and on time reimbursements for staff, including mileage reimbursement and supplemental pay requests
Track and disperse incoming checks from representative payee
Will complete all required reports and submit to Central as required by deadline
Report any and all incidents of abuse/neglect, suicidal/homicidal ideation, death or unusual incidents to team lead
Attend scheduled staff and other administrative meetings as scheduled
Have knowledge of and assist in implementation of policies and procedures
Maintain confidentiality and adhere to HIPAA
Provide culturally competent services that are individualized to client needs and reflect the integration of their race, color, religious creed, disability, handicap, ancestry, sexual orientation, gender, gender expression, national origin, age and sex
Perform other duties as required by Team Leader/Unit Director
Ability to pass a drug screen and background check
Valid driver’s license and car insurance
Highly organized and self-motivated
Ability to work independently, multi-task, prioritize and problem solve
Proficient in computers and Microsoft Outlook including Access
Necessary Travel-must have a current driver’s license and vehicle insurance in good standing. Use of personal vehicle is required. May have to drive in inclement weather.
Unusual Work Hours-hours as assigned by Program. Scheduled holiday.
Unusual Environmental Conditions-Inside and outside work area. Environment may be noisy at times. Necessity to practice universal precautions at all times due to possible exposure to infectious disease.
