The Human Resources Coordinator provides coordination in support of administrative functions as needed for the Philadelphia Shared Services Human Resources and Learning and Development Teams. These activities will vary but are largely in support of recruitment
and operational related functions. This position interfaces with all levels of stakeholders, internally and externally to the organization. Supports and engages job seekers, clients and employees in a respectful and professional manner that upholds RHD’s
Essential Duties and Functions
Provides Administrative, and Customer Service related support related to Human Resources Department activities and operations
Answering phone calls regarding first level employee requests and question
Coordination of meetings, appointments, documentation, retreats and other team activities and initiatives
Assists the HR Team with the coordination of training initiatives,
Supports the HR Team with projects relating to strategic HR initiatives
Participates in identifying areas for operational and process improvement
Coordinates project assignments and teams if applicable
Assists with HRIS and ATS data reporting and analysis
Facilitates the start-to-end administrative recruitment process for Shared Services job vacancies
Enter requisitions into ATS and maintain requisition statuses
Source qualified candidates through ATS
Update ATS with job seeker feedback provided by the Hiring Manager
Coordinate the scheduling of phone and in-person interviews
Complete reference checks and offer letters
Provide proactive communication with all candidates in workflow steps
Serves as an Administrator for RHD’s ATS
Review and approval of job requisitions within ATS
Provide trouble shooting support for end users
Update user profiles to reflect accurate permissions
Complete audits to ensure updated information is reflected and job seekers are assigned
Serves as the Corporate Administrator for RHD’s E-Verify account
Coordinates the completion of Shared Services New Hire Paperwork
Maintains the confidentiality of employee personal and identifying information, and personnel actions as required by law
Supports the vitality and actualization of RHD Values, RHD and HR Department strategic initiatives, goals and objectives
1 year of relevant experience preferred
OR equivalent combination of education and experience
Knowledge Skills and Abilities:
Proficient use of Microsoft Office (Excel, Outlook, Word, Power Point)
Ability to initiate, plan, and conduct multiple projects successfully required.
Ability to work effectively across a highly matrixed, multi-location organization required.
Ability to work autonomously and exhibit a professional demeanor to internal and external clients is required.
Required to have strong written and verbal communication skills and the ability to communicate with a varied and diverse population in an effective manner.
Required to be adaptable and have very strong organizational, time management and attention to detail skills.
Demonstrated ability to apply appropriate judgment with confidential or private information.
Demonstrated problem solving skills and ability to suggest and implement new ideas in support of process improvement
