The Payroll File Clerk supports the HRIS/Payroll team with all aspect of administrative filing and follow-up tasks associated with the daily operation of effective file management. The Payroll File Clerk gathers and collects personnel files or documents
for proper document safe-keeping to preserve the integrity of confidential data. This position also participates (as directed) in the scanning of personnel files and associated documents into electronic format.
This is a temporary position through November, not eligible for paid time off or healthcare benefits.
Essential Duties and Functions
File management of paper (hard copy) personnel files and associated documents
Assists with the timely retrieval of files for review upon request
Assists with annual purge of paper (hard copy) personnel files
Scans and indexes documents into electronic form
Edits indexing of electronic documents
Navigates HRIS to obtain/confirm employee information as needed
Prepares and sends standardized communications to employees as directed
Sorts mail and distributes to team members
Perform other duties as assigned
Responds timely to all customers’ (employees, managers, external entities) inquiries or requests for information, while maintaining security protocols
Promotes a workplace environment focused on superior customer service
Assists with conducting yearly payroll audit including confirmation of file contents, etc.
Assists with year-end processing and distribution of W-2s as needed
Performs special projects as required or as assigned
Must be able to file folders accurately and quickly
Work in a face paced environment
Ability to organize a lot of paperwork into correct files.
Should have some experience with Outlook/email, copiers, fax machines and shredders.
Some experience scanning is a plus
